Instead of deleting old messages or newsletters, try transferring your emails to a new, free Gmail account. This method not only clears up space in your original inbox but also preserves your old emails in an archive. Here's how you can do it.

Why Gmail Fills Up Quickly

Google gives you 15GB of free storage, but it’s shared across Gmail, Google Drive, and Google Photos. Large email attachments, photos, and videos can quickly consume this space, especially if you've been using Gmail for years. Once you hit the limit, you won’t be able to send or receive emails, so it's important to act fast.

While upgrading to Google One for extra storage is an option, it means paying $20 a year or more. A better alternative is to use Gmail’s unlimited free accounts to create an archive for your older emails.

Transferring Emails to a New Gmail Account

Before you start, back up your emails using Google Takeout. This ensures you have a local copy in case anything goes wrong.

Steps to Transfer Emails:

1. Enable Email Export on Your Current Account:

Log in to your Gmail account and go to Settings > See All Settings.

Under the "Forwarding and POP/IMAP" tab, enable "POP for all mail" and save changes.



2. Set Up a New Gmail Account for Archiving:

Create a new Gmail account to act as your email archive.



3. Link the New Account to Your Current Account:

In the new account, go to Settings > See All Settings > Accounts and Import.

Select "Add a mail account" under "Check mail from other accounts."

Enter your old Gmail address and choose "Import emails from my other account (POP3)."

Use your old account's password or create a temporary Google app password for added security.



4. Start Transferring Emails:

Set the transfer options to use SSL, label incoming messages, and archive them.

Click "Add Account" to begin the transfer.




Things to Note:

The transfer may take several hours or even days, depending on how many emails you have.

Once complete, all transferred emails will be moved to the Trash in your original account. Be sure to empty the Trash manually.

What to Do After the Transfer

After your emails are transferred:

1. Stop the Automatic Sync:

In your new account, go to Settings > Accounts and Import, and delete the link to your old account.



2. Delete the Google App Password:

Visit Google App Passwords and remove the temporary password.



3. Maintain the Archive Account:

Google may delete inactive accounts after two years. To keep the archive active, sign in at least once every two years.

What’s Not Transferred?

Drafts and spam emails aren’t included in the transfer. Handle your drafts manually, and let Gmail automatically clear spam after 30 days.
